Organize: everything in its place
After you clarify a task, GTDEasy places it in the right list.
After you clarify a task, GTDEasy places it in the right list. That way you always know where to find it and what to do with it.
- Inbox: captured items not yet clarified.
- Next action: ready to execute. Appears in your “Tasks” section.
- Waiting for: delegated. You can review them in “...More” > “Delegated”.
- Someday: things you would like to do later. You can find them in “...More” > “Someday”.
- Reference material: information you want to keep but that requires no action. You can find it in “...More” > “Reference material”. These tasks cannot be completed: they are information, not actions, so they do not show the complete circle.
- Done: completed. You can find them in “...More” > “Done”.
- Trash: deleted. Recoverable for 30 days; after that they are hidden automatically. You can also delete items permanently. You can find them in “...More” > “Trash”.
Each list shows only tasks you own, either because you created them or because someone assigned or delegated them to you. You will never see other people's tasks here, except for tasks in a shared project. See Creator, owner and assignment.
Postponed tasks
A postponed task stays hidden from your lists until the date you choose. When the date arrives it appears in “Tasks” (or in Inbox if you have not finished clarifying it) automatically. Although GTD does not define this state, in GTDEasy we find it genuinely useful for your system. You can also review them from “...More” > “Postponed”.
Filters
You can filter any list by context, project and priority. Tasks adds a filter for available time, and inside a project you can also filter by “Owned by me” and “Unassigned”.
Contexts have three states. Tap once to see only the tasks in that context. Tap again and the context turns red with a minus sign: its tasks are left out of the list. A third tap returns it to its original state. You can include one context and exclude another at the same time. If a task has an excluded context it will not appear, even when it also has one of the included ones.
“No context” works the same way. Included, it shows only the tasks without any context. Excluded, it hides them.
The “Due today” filter leaves out tasks whose due date is later than today. Overdue tasks still appear, and so do tasks with no due date.
Sorting your lists
Next to the filter button you will find the “Sort” button. It lets you change the criterion used to order the tasks in the list you are viewing.
You can sort by:
- Alphabetical: by the task title.
- Date created: when you captured the task.
- Owner: by the name of the person responsible.
- Due date: the date the task should be finished by.
- Start date: the day from which the task appears in your lists.
- Priority: urgent and important first, then urgent, then important.
- Project: groups tasks by the project they belong to (this option does not appear inside a single project).
Each criterion can be sorted in ascending or descending order. Tasks that do not have the value you are sorting by (for example, no due date) always appear at the end.
The “Default” option returns the list to its original order. Each list remembers the order you chose, and while you type in the search box the search relevance takes over.
