Projects

Any outcome that needs more than one action.

A project groups related tasks toward a single outcome. Anything that cannot be resolved with a single action is a project.

Steps and projects solve different things. A task with steps is still a single action with a script you tick off: preparing a meeting by going through four points, for example. A project groups several independent tasks, each with its own context and date. See Steps.

The project view

From the sidebar, open "Projects" to see the list of all your projects.

You can create a new project with the "New project" button. You can give it a name, a description and a goal, and choose its identifying color, its status and the workspace it belongs to.

Open a project to see all its tasks (yours and other members') organized in tabs by status: Active, Someday, Reference, Waiting for, Done and Trash.

GTD tip: every active project should have at least one next action. If it does not, make sure to define it in your next weekly review.

Shared projects

  • In a shared project you can see all tasks, but only their owner can edit them. See Creator, owner and assignment.
  • If you are the owner of a task or have Editor access to the project, you can assign or reassign it to another member. That person becomes its owner and the task lands in their Inbox.
  • You can track another person's task with the icon shown on the right of the task. You will see its updates in Delegations.
  • In shared projects you can filter tasks by Owned by me and Unassigned.
  • Each task shows the color and name of its project. If the task was created by someone else, you will also see the name of who created it.
  • To invite other people to a project, see Sharing.

Note: assigning is not the same as delegating. Assigning a task changes who owns it and nothing else. Delegating means assigning an owner and, additionally, tracking the task. See Assign vs delegate and Delegations.
